Booking Terms and Conditions

Your contract is with Louise and Chris Jones (“we”, “us” and “our” in these Booking Conditions) for the property known as Gellideg Cottage, Cwmhiraeth, Nr Drefach Felindre, Carmarthenshire, SA44 5XJ (“the Property”). References to “you” or “your” are references to the person making the booking and all members of the holiday party.
These Booking Conditions, Regulations and Important Notice form the basis of your contract with us so please read them carefully. Nothing in these Booking Conditions affects your normal statutory rights.

1. Making your booking
When you book the Property with us you should return the completed Booking Form to us together with your payment for the Initial Deposit. Please note that the Initial Deposit is only refundable if you cancel your booking in writing within seven days of receiving our written confirmation of your booking.
Your booking is made as a consumer for the purpose of a holiday and you acknowledge that no liability can be accepted for any business losses howsoever suffered or incurred by you.
Once the completed Booking Form and the Initial Deposit have been received and accepted by us, we will issue you with our written confirmation. The contract between us will only be formed when we send you our written confirmation and is subject to these terms and conditions. We reserve the right to refuse any booking prior to the issue of our written confirmation. If we do this we will promptly refund any money you have paid to us.
You should carefully check the details of our written confirmation and inform us immediately of any errors or omissions.

2. Paying for your booking
You are required to send to us your payment for the balance of the Rental at least 30 days prior to the Arrival Date as set out in our written confirmation. If you fail to make a payment due to us in full and on time we may treat your booking as cancelled by you.

3. If you cancel or amend your booking
If you need to cancel or amend your booking you must telephone us on the number shown on our written confirmation as soon as possible.
You will also be required to confirm your cancellation in writing or by email to the addresses shown on our written confirmation. A cancellation will not take effect until we receive written confirmation from you.
If you cancel your booking within seven days of receiving our written confirmation, we will refund the balance of any money you have paid us. After such period, if you cancel your booking more than four weeks prior to the Arrival Date, we reserve the right to retain the Initial Deposit.
If you cancel your booking less than four weeks prior to the Arrival Date, we reserve the right to retain both the Initial Deposit and the Rental balance. In these circumstances we will refund the Rental balance (less any additional costs incurred) to you if we are able to secure an alternative booking for the Property at the same Rental price or higher.

4. If we cancel or amend your booking
We would not expect to have to make any changes to your booking, but sometimes problems occur and we do have to make alterations or, very occasionally, cancel bookings.
If this does happen, we will contact you as soon as is reasonably practical and inform you of the cancellation or the change to your booking and, if it is necessary to cancel your booking, we will refund the balance of any money you have paid us.

5. Your accommodation
You may arrive at your accommodation at any time after 16:00 hours on the Arrival Date of your holiday and you must leave by 10:00 hours on the Departure Date.
If you fail to arrive by midday on the day after the Arrival Date and you do not advise the contact of your anticipated late arrival we may treat the booking as having been cancelled by you.

6. Your obligations
You agree to comply with the Regulations attached to these terms and conditions and any other regulations reasonably made from time to time (which may, without limitation, include changes to the form of Regulations attached) and ensure that they are observed by all members of your party.
You agree to keep and leave the Property, furnishings, and all other items in or on it clean, tidy and in good condition and rubbish free on departure.
You agree not to cause any damage to the Property or any items in or on it nor to do anything that may be reasonably considered to cause a nuisance or annoyance to us or to any other occupier of adjoining or nearby properties.
We are sure that you will take care whilst you stay with us and that children will be appropriately supervised. We acknowledge that accidents sometimes happen. We do however reserve the right to charge for damage or breakages, particularly any which we consider were deliberately or recklessly caused. In this event, you will be notified in writing as soon as is reasonably practicable. We also reserve the right to charge further sums if we are unable to re-let the Property as a consequence of the damage and to charge you £30 for extra cleaning should the Property not be left tidy and rubbish free on your departure.
You agree to take all necessary steps to safeguard your personal property. No liability to you is accepted in respect of damage to or loss of such property.
If you or any of your party are not citizens of the UK you agree to ensure that each member of your party is covered by comprehensive travel insurance and health insurance (including evacuation and repatriation coverage).
You cannot

  • allow more people to stay in the Property than expressly authorised, or
  • significantly change the makeup of the party during your stay in the Property, or
  • take a pet into the Property.

If you do so, we can refuse to hand over the Property to you, or can require you to leave it. We will treat any of these circumstances as a cancellation of the booking by you.
You agree to allow us or any representative of ours access at any reasonable time during your stay for the purpose of essential repairs, mowing the lawns, refuse removal and laundry collection. You also agree not to use the premises' broadband facilities for unlawful purposes.

7. Complaints
Every effort has been made to ensure that you have an enjoyable and memorable holiday. If, however, you have any cause for complaint. We would like the opportunity to take remedial action as soon as possible. It is therefore essential that you contact us if any problem arises so that it can be speedily resolved. It is often extremely difficult (and sometimes impossible) to resolve difficulties properly unless we are promptly notified. Discussion of any criticisms with us whilst you are in residence will usually enable shortcomings to be rectified straightaway. In particular, complaints of a transient nature (for example, regarding preparation or heating of the Property, or the functioning of appliances) cannot possibly be investigated unless registered whilst you are in residence.

If any complaint cannot be resolved during your holiday, you must write to us with full details within 28 days of the end of it.

8. Our liability
Our maximum liability for losses you suffer as a result of us acting in breach of these terms and conditions is strictly limited to the Rental and any losses which are a foreseeable consequence of us breaking the agreement. Losses are foreseeable where they could be contemplated by you and us at the time your order is accepted by us.
This does not include or limit in any way our liability for death or personal injury caused by our negligence or for fraud or fraudulent misrepresentation; or for any matter for which it would be illegal for us to exclude, or attempt to exclude, our liability.

9. Your details 
We treat any data collected during the course of making bookings or dealing with enquiries in strict confidence. Your data will never be sold. We are also members of Premier Cottages Limited, a professional collective of independent luxury cottage owners. Premier Cottages promotes our properties on our behalf as well as other luxury cottages. As members of Premier Cottages, we would like to give them your information so that they can contact you about quality properties that you might like. You may unsubscribe from this service at any time as detailed in our Privacy & Cookie Policy.

10. Visitor comments
We are keen to collect visitors’ comments and share them with our customers and potential customers, both in the cottage and on our web site and marketing material. By accepting these terms and conditions you are indicating your consent for us to do so and to include your names and town, unless you let us know otherwise within 7 days of your booking by emailing us at info@gellideg-cottage.co.uk.

11. Law
The contract between you and us is governed by the law of England and Wales and we both agree that any dispute, matter or other issue which arises between us will be dealt with by the Courts of England and Wales.

 

Gellideg Cottage Regulations

We want you to treat Gellideg Cottage as your own home, however there are a few house rules which we would ask you to observe.

Check in and checkout times
You may arrive at any time after 4 p.m. On the day of departure, please leave the cottage by 10 a.m. at the latest.

Keys
Upon arrival you will find the keys to the cottage in a key safe. The code to unlock the safe can be found in your booking confirmation. Please leave the keys in the safe when you leave. If you do not do this you will be responsible for the cost of ensuring that incoming guests have a set of keys on arrival. On rare occasions this could include the cost of couriering a replacement set from the Owner to the Property.

Parking
You may only park on the gravel drive in front of the cottage. This is a private drive for the use of Gellideg Cottage only. The private parking is within the area bounded by the painted walls; beyond that it is a public verge. There is space for 2 cars.

Sewage treatment plant
The cottage has a private drainage system (septic tank). Please heed the instructions you will find in the cottage; specifically, do not flush or put anything else through the drainage system that may damage the treatment plant or obstruct the drains. This includes chemicals (other than washing up liquid, washing powder, soap, shampoo etc.) caustic substances and especially sanitary protection, nappies, baby wipes and any other type of wipe other than toilet paper. For these items, please use the bins provided.

Smoking 
Please do not smoke inside the cottage, or at the entrances if the doors are open. Please dispose of cigarette butts safely.

Pets
No pets are permitted on the property.

Children
Please do not allow children to use felt tips, paints, glitter, glue or play doh (or equivalent) on the property as these can cause damage, albeit unintentionally.

Candles
Please do not use candles other than tea lights which must be safely contained in an appropriate receptacle that does not allow wax to spill onto surfaces. You are asked to exercise reasonable care when using tea light candles and never to leave a lighted candle unattended.

Security
You are responsible for ensuring that the Property is secure whether you are in the house or temporarily absent. You are to take all reasonable steps to do this. All windows are fitted with window locks. These must be locked before you leave the house unattended. This is a requirement of the house insurance.

The garden and external areas
Please respect our neighbours and avoid excessive noise. There are tall walls and a bank around part of the rear of the Property and walls at the front around the edge of the car park. For the safety of you, your party and your visitors, please do not allow anyone to walk along the top of these walls or on the bank.

Refuse
All rubbish should be removed from the Property at the end of your stay and disposed of in accordance with the instructions to be found in the green welcome folder at the cottage.

 

Gellideg Cottage Important information

Building work
We cannot be held responsible for any buildings or road workings which may be carried out close by to Gellideg Cottage. Where we are aware of any anticipated works, we will endeavour to advise you in advance.

Structure and fittings
Parts of Gellideg Cottage are over 100 years old. Consequently, the structure and fittings may not necessarily have current safety and design features and lacks facilities such as ramps for wheelchairs. Therefore we would strongly advise you to contact us at the time of booking to discuss any specific needs.

Amenities
We try to give an honest impression of what the Property looks like through our published images but please be aware that items are replaced when broken or damaged and that rooms and gardens might have changed since photography, if you wish to be certain that any specific item is still at the Property please do check with us first.

Gardening
We have a gardener who comes for a few hours once a week to mow the grass and keep the garden looking lovely for our guests. The days he works may vary according to the weather and the time of year, however when guests are in residence he will try to call ahead to let you know that he is coming and will not start before 10 a.m.

In the event of any problems, queries or concerns, please contact our Housekeeper in the first instance. Her contact details are found in the welcome letter contained in the green folder at the cottage.  Only if you are unable to contact the Housekeeper should you contact the owners direct.  Their contact details are also contained in the green folder.
